How booking, payment and changes work when you book directly with us, and how we look after you on the ground in Sri Lanka.
01About these terms
These terms apply when you book a journey in Sri Lanka directly with Island Adventures, a destination management company based in Colombo. Together with your confirmed itinerary, they form the agreement between you and us, so please read them carefully before you book.
If you booked through a tour operator or travel agent in your own country, your contract is with that company and its own booking conditions apply to you. We look after your journey as its partner on the ground.
In these terms, “we” and “us” mean Island Adventures, and “you” means everyone named on the booking.
02Making a booking
Every journey we run is tailor-made, so a booking begins with a proposal. When you are happy with your itinerary, tell us you would like to go ahead and we will ask for the details we need for each traveller, such as full names exactly as they appear in passports.
Your booking is confirmed, and the agreement between us begins, when we have received your deposit and sent you our written confirmation. Please check it carefully and tell us straight away if anything is wrong.
The person who makes the booking must be at least [to be confirmed] years old, accepts these terms on behalf of everyone in the group and is responsible for payment.
We look after the details you give us as our privacy policy describes.
03Prices and payment
Your proposal sets out the price of your journey, what it includes and what it does not.
- Currency: [to be confirmed].
- Deposit: [to be confirmed] of the total price, payable when you confirm your booking.
- Balance: payable no later than [to be confirmed] days before your journey begins. If you book within that period, the full price is due when you book.
- Payment methods and any bank or card charges: [to be confirmed].
- Whether, and when, the price can change after confirmation: [to be confirmed].
If the balance is not paid on time, we may treat your booking as cancelled by you, and the cancellation charges below will apply.
04Changes by you
Plans change, and because every itinerary is our own design we will always try to help. Please ask for any change in writing, as early as you can.
We will tell you whether the change is possible and what it will cost. Changes may carry a charge, including any costs our suppliers pass on to us, and an amendment fee of [to be confirmed] may also apply.
If someone in your group can no longer travel, ask us whether their place can be transferred to another person.
05Cancellation by you
You can cancel your booking at any time by writing to us. The cancellation takes effect on the day we receive your notice.
Because we commit to hotels, guides and other suppliers on your behalf, the following charges apply, as a share of the total price:
- More than [to be confirmed] days before your journey begins: [to be confirmed].
- Between [to be confirmed] and [to be confirmed] days before: [to be confirmed].
- Fewer than [to be confirmed] days before, or if you do not join the journey: [to be confirmed].
Your travel insurance may cover cancellation charges if you have to cancel for a reason your policy includes. We cannot normally refund any part of the journey you choose not to use.
06Changes or cancellation by us
We plan every journey carefully, but occasionally we may need to change an arrangement, for example if a hotel becomes unavailable or a road or trail is closed. Most changes are minor, such as a comparable hotel or a different order of days, and we will tell you about them as soon as we can.
If we need to make a significant change, or to cancel your journey, we will tell you promptly and offer you a comparable alternative or a full refund of the money you have paid us. Any further compensation: [to be confirmed].
Sightings of leopards, elephants, whales and birds can never be guaranteed, and the weather, the sea and the seasons can change what is possible on a given day. Our guides will adapt the plan to make the most of the conditions.
We are not responsible for changes or cancellations caused by events that neither we nor our suppliers could foresee or avoid, such as extreme weather, natural disasters, civil unrest, epidemics or government action. If such an event affects your journey, we will do all we reasonably can to help you.
07Travel insurance
Every traveller should have comprehensive travel insurance from the moment of booking. It should cover cancellation, medical treatment, emergency evacuation and repatriation, and the loss of baggage and money.
If your journey includes trekking, cycling, rafting or other activities, please check that your policy covers them.
Please send us your insurer’s name, your policy number and its emergency telephone number before you travel, so that we can act quickly if you need help.
08Health and fitness
Our trekking, cycling and other active journeys range from gentle half-day walks to multi-day challenges. We describe the level of each itinerary honestly, and you are responsible for making sure that you, and everyone in your group, are fit enough to take part.
Please tell us before you book about any medical condition, disability, allergy or dietary need that might affect your journey, so that we can plan it with you. We treat this information in confidence.
Ask your doctor about vaccinations and health precautions for Sri Lanka in good time before you travel.
Our tour guides are first-aid certified and work to comprehensive safety checklists. For your safety and that of the group, a guide may change a route, shorten an activity or ask a traveller not to continue when the conditions or someone’s health make it unwise. Please follow their advice.
09Passports and visas
You are responsible for holding a valid passport and any visa or electronic travel authorisation you need to enter Sri Lanka, and for meeting any health requirements for entry. Rules change, so please check them with the official Sri Lankan authorities, or your nearest Sri Lankan embassy or high commission, well before you travel.
Check too that your passport will remain valid for long enough after your journey, and that the names on your booking match your passports exactly.
We are glad to share general guidance, but we cannot be responsible if you are refused boarding or entry because of missing or incorrect documents.
10Responsibility and liability
We are responsible for making sure that the arrangements confirmed in your itinerary are provided with reasonable skill and care, whether by us or by the hotels, guides, drivers and other suppliers we choose for you.
Island Adventures holds public liability insurance cover of US$500,000.
We are not responsible for any loss, injury or damage caused by your own actions, by someone unconnected with the services we provide, or by events beyond our control.
International flights and any arrangements you make yourself are not part of your booking with us unless your confirmation says otherwise.
Our liability to you is limited to [to be confirmed]. Nothing in these terms limits our liability where the law does not allow it to be limited, such as for death or personal injury caused by our negligence.
11Help and complaints
Our customer care is available 24/7. If anything is not as it should be during your journey, please tell your guide or our team straight away, so that we can put it right while you are still with us.
If a problem cannot be solved on the spot, please write to us within [to be confirmed] days of the end of your journey, with your booking details. We will look into it fully and reply in writing.
12Travelling responsibly
Responsible travel is at the heart of how we work. We ask every traveller to respect local customs and communities, to dress modestly at temples and sacred sites, and to follow their guide’s advice in national parks and protected areas.
If a traveller’s behaviour puts other people at risk or causes serious offence, we may have to ask them to leave the journey.
13Governing law
These terms, and any dispute arising from them, are governed by the laws of [to be confirmed], and the courts of [to be confirmed] will deal with any claim.
If any part of these terms is found to be unenforceable, the rest remains in force.
